Welcome to Board.Vision Tutorials. In this tutorial, we will walk you through the steps to circulate a disclosure.

Important Note: Board.Vision web app is supported on Google Chrome (version 65.0 and later) and Microsoft Edge (version 87.0 and later).

To circulate a disclosure:

1) Log in to your Director Disclosure account using your registered email address and password.


2) Once you are logged in, both Sections 156 and 165 will be visible on your screen.   


3) Click on the Section 165 button next to Section 156 and you will be directed to the Current Shareholdings section.  


4) Click on the Send Disclosure button at the top right of the screen.  


5) On the Circulate Disclosure pop-up window, select the "Section 165 Disclosure" box 


6) Once you have selected the checkbox, you will be required to preview your disclosure. Select Okay, Preview on the Preview Disclosure pop-up window to preview your disclosure document. 


7) To view the distribution list, click on the Edit Distribution List button.  


8) If you wish to send the disclosure to other recipients not listed within the distribution list, enter their email addresses into the CC field. 


Select the "Save Distribution List for next circulation" box, if you wish to save the distribution list for your next circulation. 


Then, click on the Save button. 


9) If you wish to preview your disclosure again, click on the Eye button next to Edit Distribution List 


10) To proceed to circulate your pending circulation:

  1. Click on Yes, Circulate (as shown Figure 1); or
  2. Click on Notify Preparer to Circulate (as shown Figure 2) if you wish to notify your Authorised Preparer(s) to circulate the disclosure on your behalf.

If you choose to circulate the disclosure, you will receive an email notification from Board.Vision <notifications@board.vision> with the same title “Director Name – Director’s disclosure pursuant to Section 165 of the Companies Act 1967” (refer to 'Email 1').


Email 1 - To: Chairman and Directors


The recipients will be as follows:-

  • To all Directors recipients consolidated.
  • Cc named company secretaries*, your Authorised Preparer (one who triggers the circulation), and additional recipients who have been added to the Cc field on the Distribution List.


Note: The 'named company secretaries' refers to the Cosecs that have been entered via the Board.VIsion Register of Secretaries with the 'Named Company Secretary' box selected. You may refer to this link here for more information.


A separate email will be sent to all company secretaries of non-Board.Vision companies (non-BV companies*) in cases where the director has also disclosed his/her appointments in these companies (refer to 'Email 2').

Email 2 -To: Company Secretary


The recipients will be as follows:-

  • To all company secretary recipients (non-BV companies*).
  • Cc your Authorised Preparer (one who triggers the circulation)

Note: The 'non-BV companies' refers to companies that have been entered by the director or his/her authorised preparer via the Director's Disclosure portal.


If you had chosen to notify your Authorised Preparer(s) to circulate the disclosure on your behalf, your Authorised Preparer(s) will receive an email notification from Board.Vision <notifications@board.vision> with the title “You have been authorised to circulate director's disclosure(s) for 'Director's Name'.
