Welcome to Board.Vision Tutorials. In this tutorial, we will walk you through the steps to upload a document and how to search for the uploaded document in record management.

Important Note: The Board.Vision web app is optimised and supported for desktop use on Google Chrome (version 65.0 and later) and Microsoft Edge (version 87.0 and later). 


To upload documents:


1) Log in to your Board.Vision account using your registered email address and password. 

 

2) Once logged in, click on Record Management System from the left menu.  


3) Click on the Upload Document button at the top right of the screen. 


4) On the "Upload Document" pop-up window, select the document type from the Select Document Type drop-down and click on Confirm.


5) Next, you are required to upload the document and enter the information under the "Details" section, for the fields that you have set when creating the Document Type, 


6) For access rights setting of the document, go to "Viewer" and grant access to the user or user groups by toggling the switch on. By default, all users will have no access to the uploaded document.


7) Once done, click on Confirm.


How to search for the document that was uploaded to the Record Management System:


1) Navigate to the Record Management System home screen and enter either the Document Title or the Associated To value in the search field. 


2) You may also use the Advanced Search option.



3) For an advanced search, you use any of the available fields to locate the document you have uploaded, such as:

  • Document Title – Refers to the name of the document
  • Associated To – Refers to the related type or module the document is linked with
  • Date – Use to filter by upload or creation date
  • Tags/Keywords – Helps narrow down results using specific tags or keywords assigned to the document
  • Document Type – Filter by the category or type of document (based on the document type that has been created under the Manage Document Type)
  • Created By – The Administrator who uploaded or created the document



You have successfully uploaded a document and learned how to search for the uploaded document in the record management system.
