Welcome to Board.Vision Tutorials. In this tutorial, we will walk you through the steps to set an auto-reminder to an upcoming meeting for participants and executive assistants.


Important Note: Board.Vision web app is supported on Google Chrome (version 65.0 and later) and Microsoft Edge (version 87.0 and later).  

Only Product Owners and Super Administrators have access to the Global Settings page.


To set an auto-reminder for to an upcoming meeting for participants and executive assistants.


1) Log in to your Board.Vision account using your registered email address and password.  


2) Click on your Profile Picture at the top right. 


3) Select Global Settings from the dropdown menu. 



4) On the Global Settings page, scroll down to the Meeting Settings.


5) Once you have selected the "Set Automatic Reminder" checkbox, you will be provided with options to set Scheduled or Recurring Reminder.



6) Proceed with the following:


a) Setting Scheduled Reminders

To set scheduled reminders:

  1. Enter the desired number of days, hours, or minutes before the meeting start time.

  2. Select the recipients (Participants and/or Executive Assistants).

  3. Click Confirm to save the reminder.



Example:
You can set multiple reminders as needed. For instance:

  • The first reminder will be sent 7 days before the meeting.

  • The second reminder will be sent 3 days before the meeting.



Important Note: There is no limit to the number of scheduled reminders an administrator can create.



b) To set a Recurring Reminder, enter the following:


a) Reminder Time

  • Set the specific time when reminders should be sent.

b) Reminder Frequency

Choose how often reminders should be sent by entering a value in the "Number of days between reminders" textbox:

  • Daily – Enter 1
  • Alternate days - Enter 2
  • Weekly – Enter 7
  • Monthly – Enter 30



7) Once updated, from the left navigation menu, go to Meetings & Events, and click on the Meeting Name with a Draft / Scheduled status.  



8) On the View Meeting page, click on the Settings icon at the top right.



9) On the Meeting Advanced Settings pop-up window, select the checkbox for the Auto Reminder. Then, click on Update
