What should the Administrator do to Preserve an Entity’s Records when the Entity’s Board.Vision Instance is to be Terminated?

If an entity intends to terminate its Board.Vision account, we strongly encourage the Administrator to complete the following steps to ensure that all important records are preserved before the account is closed.


1. Deactivate All Users

Administrators should deactivate all users within the entity.

Once all users have been deactivated, please contact support@board.vision to delete the last remaining user in the entity.


2. Download the Schedule Information Report

Administrators should download the Schedule Information Report for record-keeping.

3. Archive All Meetings and Download the Archival Report

Ensure that all meetings are archived and the Meeting Archival Report is downloaded.

4. Archive All Approvals and Download the Archival Report

All approvals should also be archived and the Approval Archival Report downloaded.

5. Cease All Users in the Registers Module

Administrators should cease all users from the following registers:

  • Directors

  • CEOs

  • Secretaries

  • Auditors

  • Members


The steps to cease users are similar across these registers.

Important Notes for Users Associated with Multiple Entities


If the entity has been struck off:
The Administrator must cease all users from the Register of Directors and CEOs. This ensures the users’ status is updated correctly under the Director’s Disclosure Section 156.


If the entity is still operating but is only unsubscribing from Board.Vision:
There is no need to cease users from the Register of Directors or CEOs, as they remain directors or CEOs of the entity.


6. Download a List of All Registers

Administrators should download all registers from the Registers module.

The steps are similar across the different registers.

7. Generate Key Reports

Administrators are encouraged to generate and download the following reports:

  • Current Directorship Report

  • Past Directorship Report

  • Financial Year-End Report

  • Approvals and Meetings Statistics Report

  • Approvals and Meetings Listings Report
