How to Set an Auto Reminder for Participants and Executive Assistants to Respond on a Schedule

Welcome to Board.Vision Tutorials. In this tutorial, we will walk you through the steps to set an auto-reminder for participants and executive assistants to respond on a schedule.


Important Note: Board.Vision web app is supported on Google Chrome (version 65.0 and later) and Microsoft Edge (version 87.0 and later).  


To set an auto-reminder for participants and executive assistants to respond on a schedule:


1) Log in to your Board.Vision account using your registered email address and password.  


2) Click on your Profile Picture at the top right. 


3) Select Global Settings from the dropdown menu.


4) On the "Global Settings" page, navigate to the Schedule Settings section and you will find the "Set Automatic Reminder" checkboxSelect the checkbox to enable the scheduled or recurring reminders. 


5) When selecting the "Scheduled Reminder" option, the system will display the following configuration.


6) Configure Scheduled Reminder settings. 

a) 1st Reminder 


  • Specify when the first reminder should be sent by entering a value in Days, Hours, or Minutes before the meeting starts.

  • You may also include a custom message, if required.



b) Recipients

  • Select who should receive the reminders:
  • Participants only
  • Participants and their Executive Assistants


Note:
There is no limit to the number of automatic reminders that can be sent out. You can click on Add Another Reminder to configure additional reminders.


7) When selecting the "Recurring Reminder" option, the system will display the following configuration.



8) Configure Recurring Reminder settings.

a) Reminder Time

  • Set the specific time when reminders should be sent.

b) Reminder Frequency

  • Choose how often reminders should be sent by entering a value in the "Number of days between reminders" textbox:
  • Daily – Enter 1
  • Alternate days - Enter 2
  • Weekly – Enter 7
  • Monthly – Enter 30

c) Recipients

  • Select who should receive the reminders:
  • Participants only
  • Participants and their Executive Assistants


9) Then, click on Update.


10) Next, from the left navigation menu, go to Planning and Scheduling, and click on the Proposed Meeting Name with a Draft / Pending Confirmation status.   


11) On the View Schedules page, click on the Settings icon at the top right.


12) On the Schedule Advanced Settings pop-up window, select the checkbox for the Auto Reminder. Then, click on Update


Please note that the auto-reminder (push notification and email) will be sent to the participants and executive assistants who have not yet responded and CC Administrator(s).
